House keys and an organised property folder on a sunlit desk

Changing letting agents can feel like another job on an already busy landlord’s list. Who collects the paperwork? What happens to the deposit? Will tenants know where to pay their rent or report a repair?

At Wulstans, we coordinate the handover for you. From contacting your current agent to introducing ourselves to your tenants, we take care of the practical arrangements so you can move forward with confidence.

We support landlords in Worcester, Malvern and the surrounding counties, offering a personal service with a clear point of contact throughout the change.

We start with a plan that suits your property

First, we discuss your property, the current tenancy and the support you need. You might want help finding your next tenant, or you may be looking to move the ongoing management of an occupied property.

We help you check the notice requirements and any relevant termination charges in your existing agency agreement before agreeing a handover date. With your authority, we liaise with your current agent and coordinate the next steps.

You will know what is happening, what we are handling and whether we need anything from you.

We collect the paperwork from your current agent

You should not have to spend your time passing documents between two agents. We request the necessary property, tenancy and compliance information directly from your current agent and review what we receive.

Depending on the property and service, this includes:

  • Tenancy agreements and any subsequent changes.
  • Tenant and guarantor information, together with relevant referencing records.
  • Deposit protection details and prescribed information.
  • Rent statements, payment records and details of any outstanding balances.
  • Gas safety records, electrical inspection reports and the EPC, where applicable.
  • Relevant licensing information and other compliance records.
  • Inventories, check-in reports and inspection records.
  • Keys, access arrangements and details of outstanding repairs.

If something is missing, unclear or approaching its renewal date, we follow it up and explain anything that needs your attention. The aim is to begin with a clear understanding of the property and tenancy, rather than leave unanswered questions for later.

Your tenants’ deposits remain protected

Changing agents should not create a gap in deposit protection. We coordinate the transfer so deposits remain protected throughout the handover.

Where a deposit is held in another custodial scheme, we arrange its transfer directly to the Deposit Protection Service (DPS), under our management. If it is already with the DPS, we arrange the appropriate change of responsibility.

For deposits protected through an insured scheme, we coordinate the transfer of the funds and protection using the relevant scheme procedures.

We also arrange the required updated deposit information for tenants, so they know where their deposit is protected and who is responsible for managing it.

We give tenants clear instructions

A change of agent should feel straightforward for your tenants too.

We introduce Wulstans, explain when we take over and provide clear information about:

  • Where to pay rent, including the payment reference and when to change their instructions.
  • How to report maintenance issues.
  • Who to contact with tenancy questions.
  • What to do if an urgent problem arises.

We coordinate these communications with the handover date to reduce the risk of rent going to the wrong account or repair requests being missed.

Your tenants have someone to turn to, and you do not have to manage the introductions yourself.

Outstanding matters come with the handover

An unresolved repair or an unanswered tenancy question does not disappear when the managing agent changes.

We ask about ongoing maintenance, contractor appointments, rent issues and other outstanding matters. We establish what has already been done, what remains outstanding and what needs to happen next.

For landlords moving to our management service, we then set up the property records, relevant renewal reminders and ongoing arrangements, keeping you informed about any immediate priorities.

A personal service from the outset

As an independent business, Wulstans offers direct communication and clear accountability. We handle the coordination and paperwork, while keeping you involved in decisions about your property.

The time needed to switch will depend on your existing agreement and how quickly the handover information is supplied. We agree a practical timetable and keep the process moving, with the aim of making the change as smooth as possible for you and your tenants.
